Course Schedule Update Instructions

Deadline
It is very important that the Office of Academic Affairs receive an instructor's schedule changes before each semester begins.

Accuracy
It is also very important to receive complete and accurate information regarding your schedule. Information from the new scheduling program will be used for the Online Calendar Generator, Teaching Evaluation System and Curriculum Review. Misinformation could result in incorrect or incomplete teacher evaluations and in students not being in the right place since all students will now be using the online calendar. Please spend some extra time making sure all is accurate. Below are some special guidelines to help.

So that our registrar understands your updates with little error, we ask that you follow these guidelines: (please use red pen for any changes - See Example)

Deleting a Session
If you plan on no longer teaching a session that is on the draft schedule, please mark through it with a line and mark next to it DEL. Make sure to back up a copy of that session's web file onto your hard drive if you need to keep the instructional materials, because that session page on the Electronic Course Syllabus will be deleted when the calendar program is run.

Modifying a Session Name
If you are simply changing the name of a session (ie: new lecture title), please write the new name above the old name on the draft copy. We will assume that the session page in the Syllabus will then contain the same content from the last year.

Changing a Session Date/Time
If a session will contain the same information, but has switched with a new time and date, please write the new time/date above the time/date fields. We will assume that the session page in the Syllabus will contain the same content and that the session has simple moved.

Adding a New Session
If you are developing an entirely new session (ie: new lecture, seminar, etc.), please add all the field information (title, date, time, faculty, type, etc.) on the last page of the schedule. We will create a new template for that session.

Faculty Information
This is our most problematic area. In the past courses have not listed ALL FACULTY that will be teaching a specific session (lecture or seminar or lab). It has been listed as "Various Faculty." We prefer that you list all of the faculty names involved in teaching each session. If you are not sure of the faculty that will be teaching a particular session, you will have a chance to let us know of any changes that were made over the course of the semester when we send out another draft copy of your schedule at the end of the term. Accurate faculty information is crucial to the functioning of the teaching evaluation system.

Session Type
This field is used for the Teaching Evaluation System and is important to be classified correctly (lecture, lab, seminar, self-study, clinic).

ADA Code
Please appropriately assign the ADA code for each session. This will be used for curriculum review. An ADA Code list is provided on the web instructions page.

Note About Online Syllabus Pages:
Online Session Pages will be created for each session specified in the database (lectures, labs, seminars, etc). If you feel that it would better serve your course to combine separate session pages into one, please speak with the E-syllabus Manager so that we may design your syllabus pages appropriately.
